Someone goes on leave and the project fills with unanswered questions

An account handoff needs more than naming a replacement. The people continuing must be able to identify commitments, pending decisions and where to find the right materials.

The context needed to continue a project is prepared during work and checked before an absence.

Ask another person to reconstruct the next step

A consultancy prepares account coverage during an absence. The handoff document lists several projects, but its recipient cannot tell what to do on Monday. Test the handover with a specific delivery: ask the person to explain their next step, what they need and who expects a response. Their questions reveal missing information. Resolving those questions while both people are available is more useful than discovering them through an urgent call to someone already on leave.

Preserve decisions, not a copy of every message

The replacement needs to understand what was agreed and what remains open. Summarize the latest decision, its reason when relevant and the reference to the current material. Identify contacts, dates and risks that could change priority. A folder containing many versions does not prove continuity. Check which version should be used and which file should no longer be shared. If a conversation includes information the replacement does not need, avoid transferring it by habit: access is part of handoff preparation too.

Review context and access in Wiwo.Ops

Wiwo.Ops brings clients, projects, tasks, files and notes together, with permissions defined by responsibilities. Comments and meeting records preserve agreements alongside the work; account history helps prepare continuity. Before the absence, check that the supporting colleague can consult what they need and recognizes the commitments they will assume. Sending a link is not enough. During a demo, test a handover involving a pending task and a reference material to review the complete process.

Agree how decisions made during the absence will be recorded

The handover should also make returning easier. Define where changes will be recorded and who can accept new commitments while the person is away. When the client changes a delivery, preserve the decision close to the project rather than relying on a private message. On return, review open matters and changed dates. There is no need to reconstruct every conversation: understand the current state and how it came about. This habit makes project context useful throughout the year, not just during leave.

Frequently asked questions

Is a new document needed for every absence?

A summary can help, but should not replace current project information. Use it to highlight commitments and decisions, with references to the current materials.

Who decides when a new assignment arrives during coverage?

Agree this before the absence. The replacement needs to know what they can commit to and whom to consult when a request changes scope or dates.
